Defining Roles and Responsibilities in a Small Business

It is imperative that organizations in today's economy run smoothly. By defining roles and responsibilities, small businesses can become more successful.

In today’s economy, small businesses really need to be at the top of their game and they need to consider revising the way they do business when there is an economic downturn. Taking some time to look at all business matters and reevaluating whether or not they are successful can help the small business focus better and be more efficient. One of the first steps a small business can take is to look at the roles and responsibilities of everyone in the organization (including upper management).

Why Should a Small Business Define Roles?

No matter what the position in an organization, if a person doesn’t understand their role and responsibilities, the business will not be efficient. There are assumptions that are made about roles and responsibilities and if they are not clarified, tasks may not be completed or multiple people may be doing the same task. When this occurs, drastic errors can occur in business. From the top on down, there can be frustration and confusion about what to do or whether to complete a task and it sets the stage for chaos. It is the responsibility of the owners and upper management to understand their own roles and responsibilities and to work with HR and staff to clarify the staff members' roles and responsibilities. Here are some clear steps to take in order to define roles and responsibilities.

Write it Down

Have each person in the organization focus on the specific responsibilities related to their role in the organization and have them write down each one. The next step is to review the information with their supervisor. Upper management can share their roles with each other. The document should then be sent to a supervisor and to all staff that a person supervises. Each person can then write down any additional information they feel is pertinent that may have been left off the original document.

Review All of the Documents

The supervisors and upper management then have the opportunity to review each of the titles and determine whether the roles and responsibilities relate accordingly and add necessary information to the document. The titles, roles and responsibilities must then be reviewed by upper management to ensure that all necessary tasks are being completed for the organization and that two people are not performing the same tasks unnecessarily.

Clarify Titles, Roles and Responsibilities with Staff

Once reviewed by upper management, the document is then reviewed with each staff member to clarify any concerns or questions and also to accurately define the position. Also, upper management and staff should clearly understand and be able to communicate the roles and responsibilities for each of the titles in the organization. Descriptions for each title should be created and kept by human resources that adequately match the responsibility of each position. This can help with providing the accurate information about the position when hiring in the future.

Remind Staff to be Flexible

All staff and upper management may be reminded that flexibility is required when a crisis occurs as they may need to step outside of the normal daily duties to help the organization in a crisis situation.

The roles and responsibilities should be revisited each year to update any necessary changes in a position. They can also be helpful when evaluating staff performance in the future.
